Who we are
Cool Girl Wears is operated by Sienna Louise Espie, trading as COOL GIRL WEARS, ABN 63 197 945 813 (we, us or CGW).
Business contact address: P.O. Box 487 Rye 3941.
This policy explains how we handle personal information when you use Cool Girl Wears, create an account, save content or contact us. The subscription section applies only if you use Outfits & Style Inspo where it is offered.
For privacy questions, requests or complaints, contact hello@coolgirlwears.app.
Information you give us
Account details: your email address, account identifier and the verification information needed to sign you in securely. We need your email address to create and authenticate your account.
Profile and preferences: your display name, postcode, style interests, favourite brands and other preferences you enter. We use profile and preference information to save your choices and personalise the features you use.
Saved content: the articles and posts you save, their identifiers and the information needed to display and update your saved list.
Profile photo: an image you choose to add. Adding a photo is optional. On iPhone, the system image picker lets you choose an image to share; it does not give us permission to browse your entire photo library.
Settings and support: your recorded choices and permissions, and messages, attachments or other information you send when you contact us.
Please do not include identity documents, payment-card details, health information or other sensitive information in profile or custom-preference fields.
Technical information
The app and its service providers process technical information needed to deliver, protect and maintain the service. This can include your IP address, device and app information, session information, request logs and error reports.
We store account-related information on your device to support sign-in, saved content, preferences and recovery of interrupted changes.
We use Sentry for technical error diagnostics where enabled. We limit the information included in error reports and remove sensitive fields where possible. Technical diagnostics are not necessarily anonymous.
Product analytics
When you choose to enable product analytics, we use PostHog to understand what you look at and how you use CGW. This covers activity inside the CGW app: which articles and posts you open, how you engage with them, what you save or unsave, which shopping details and links you tap, and when you return. We also measure onboarding progress, updates to preference groups and whether searches return results, together with event times and app information.
This activity is linked to your CGW account through a random analytics identifier. This lets us understand your use of the app over time, including which content you have viewed or saved. We do not send your email address or profile details as properties of these analytics events. Because we can associate the identifier with your account, this is personal information, not anonymous data.
We use this information to understand content and feature performance, measure engagement and improve CGW. This product analytics does not read your web browser history or monitor your activity in other apps or on unrelated websites. External shopping and affiliate links are explained separately below.
Product analytics is optional. You can decline it without losing access to the free app. You can withdraw your permission using the analytics control where available or by contacting hello@coolgirlwears.app. Withdrawal stops future consent-based collection; it does not make earlier lawful processing unlawful. You can also ask us to delete analytics associated with your account. Permission for marketing emails is a separate choice.
Necessary sign-in, saved-content, security and operational records are separate from this product-analytics choice.
How we use information
We use personal information to create and authenticate accounts; provide saved content and profile features; personalise the experience; answer support and privacy requests; maintain and secure the service; understand product performance where permitted; and meet applicable legal obligations.
We also use contact information for the service and marketing communications described below. We do not treat account registration as blanket permission for every use of your information.
Where EU/EEA or UK data-protection law applies, we rely on performance of a contract for processing necessary to provide the account features or subscription you request; our legitimate interests in operating, securing and supporting the service where those interests are not overridden by your rights; consent for the product analytics described above and marketing that requires consent; and legal obligations for records or disclosures required by law. You may contact us for more information about the basis for a particular use.
Emails and notifications
We may send messages needed to operate your account and provide the service, including sign-in codes, security alerts, support replies and important changes affecting your account or rights. These messages do not depend on marketing consent.
Weekly Edit announcements, promotional feature launches, style updates and offers are marketing communications. We send these where you have agreed to receive them or where another permission recognised by applicable marketing law applies. Creating an account alone does not give us unrestricted permission to send promotional emails.
Our marketing emails identify CGW and include an unsubscribe link. Unsubscribing does not prevent essential account or service messages.
If push notifications are offered, they are subject to the relevant device permission. You can manage that permission through your device settings. Device permission does not replace any separate consent required for marketing.
Subscriptions, where available
This section applies only if you use Outfits & Style Inspo when it is offered. Apple processes App Store payments; CGW does not receive your full payment-card details through those purchases. We use Apple and RevenueCat subscription information to verify purchases, check trial eligibility, provide or restore access and handle subscription support. This may include account and transaction identifiers, product details, purchase dates, trial and renewal status, expiry, cancellation and refund information.
Cancelling a subscription stops future renewal under the store’s cancellation rules; it does not delete your CGW account. Deleting your CGW account does not automatically cancel App Store billing. Manage cancellation separately in your Apple subscription settings. Apple handles its transaction records under its own privacy terms and legal obligations.
Who handles information
Our service providers include Supabase for accounts, database and private storage; Vercel for hosting and delivery; Sentry for diagnostics where enabled; PostHog for product analytics when you enable it; and providers that deliver authentication emails or help us respond to support requests. Apple and RevenueCat handle subscription information as described above where the subscription is offered.
Providers and authorised team members receive access appropriate to their role in operating, supporting or securing CGW. We may also disclose information to advisers, where required or permitted by law, or where necessary to protect people, enforce our rights or address misuse. A business transfer must respect applicable privacy obligations, including notice of a material change in who handles your information.
A brand or retailer does not receive your CGW account details simply because its products or content appear in the app.
External links and shopping
When you open a link to a publisher, retailer, brand or social platform, that destination handles your visit under its own privacy notice. It may receive your IP address, device or browser information, referral information and anything you give it.
Purchases on a retailer’s website are separate from CGW. We do not process payment at the retailer’s checkout. Where a link is an affiliate or referral link, it may include information used to attribute a visit or purchase and calculate a commission.
International processing and security
Our providers operate internationally, so your information may be processed outside your country, including in the United States. The countries involved depend on the service, hosting location and support arrangements. A main hosting location does not mean that all support, delivery or backup processing takes place in that country.
Where the law requires safeguards for an international transfer, the transfer must have a recognised legal basis, such as an adequacy decision or approved contractual safeguards. Contact hello@coolgirlwears.app to ask about the safeguards relevant to your information.
We use access restrictions and technical and organisational safeguards appropriate to the service. No online service or device can be guaranteed completely secure.
How long we keep information
We keep personal information only for as long as needed for the purposes described in this policy, taking account of the type of information, the service you use, ongoing requests or disputes and applicable legal obligations.
Account, profile, preference and saved-content information is kept to provide your account features. An active account does not justify keeping every record indefinitely. When information is no longer needed, we delete it or make it genuinely anonymous, subject to lawful retention requirements.
Identifiable product analytics is kept only while needed for the disclosed analysis and subject to your choices, deletion rights and applicable law. Replacing your name with an account number or random identifier does not make the information anonymous.
Support records and technical logs are kept for the time needed to resolve requests, investigate faults or misuse, and meet related legal obligations. Relevant records may be held longer while a complaint, security incident or legal claim remains open. Transaction records may be retained for applicable accounting, tax or dispute requirements.
We may retain limited records of consent, marketing opt-outs and completed privacy requests to respect your choices and demonstrate how a request was handled. Backup copies may remain until they are overwritten or expire under the relevant backup process; a deletion request is not a promise of immediate erasure from every backup.
We may retain genuinely anonymous statistics for long-term reporting, such as overall readership or content-performance trends. We do not treat identifiable individual histories as anonymous statistics merely because names and email addresses have been removed.
Deleting your account
You can start permanent account deletion from Profile in the app. You will be asked for a fresh email verification code and final confirmation.
The deletion process removes your sign-in account and the profile, preferences, saved content and private profile media associated with it. It also clears the account-related information stored by CGW on the device where you complete the request, such as sign-in details, cached profile information and saved-content copies. This does not mean deleting unrelated information from your device.
Where account-linked analytics exists, it must also be handled through the provider’s deletion process. The account-deletion screen distinguishes pending analytics deletion from completed or unnecessary analytics deletion. Contact us if you need help with a pending request.
A limited deletion receipt may remain to recover an interrupted request and record its outcome. It contains a one-way account hash, request identifier, status and timestamps, rather than your email address. We treat it as potentially personal information and retain it only for its supported purpose or legal requirements.
If local cleanup fails, follow the app’s instructions before someone else uses the device. Copies on other devices or in device backups may need separate attention.
Deleting the app alone is not an account-deletion request. Deleting your CGW account does not delete published editorial content, external retailer accounts or records held independently by Apple or retailers. Limited records may be retained where required or otherwise lawfully justified, as described above.
Your rights and complaints
You can update your profile and preferences using the available app controls, unsubscribe from marketing, and request account deletion. You can also contact hello@coolgirlwears.app to request access to or correction of your information or raise a privacy complaint.
Depending on the law that applies, you may also have rights to erasure, restriction, portability, objection, withdrawal of consent or appeal. These rights are subject to their legal conditions and exceptions. We may need proportionate identity verification before disclosing or changing personal information.
We will consider your request or complaint, respond within applicable statutory timeframes and explain any lawful refusal, limitation or available review route.
Where Australian privacy law applies, you may be able to complain to the Office of the Australian Information Commissioner at https://www.oaic.gov.au/. People in the EU/EEA or UK may complain to their competent data-protection authority. Other countries may provide additional local rights and complaint routes.
Children’s privacy
You must be at least 16 years old to create a CGW account. Users aged 16 or 17 may have additional privacy protections under local law. The privacy choices described in this policy apply to all account holders. Where local law requires parental or guardian permission, that permission must be obtained before the relevant collection or use of personal information.
If we learn that an account belongs to someone under 16, we will take steps to close it and delete personal information we no longer have a lawful reason to retain. If you believe an account belongs to someone under 16, or that a child has provided information without permission required by law, contact hello@coolgirlwears.app so we can investigate and take appropriate action.
Changes to this policy
We will update this policy when our information practices change and show the updated date. Where a change requires notice or fresh consent, we will provide it before relying on that change.
